To effectively manage Local Bank Deposits, a staff must be familiar with our 1. Google Internal Record Sheet (GIRS) 2. Navigation of Available Online Banking used for Local Bank Deposit (VietinBank, VPBank, VPBank NEObiz, OCB) 3. Navigation of Back-Office System (B.O.)
Additionally, it is essential to understand the Daily Limits of Local Banks. Staff should notify their ATL when they are approaching these daily limits, as well as be aware of the Average Handling Time. Important: Please be aware of the Bank Login Protocol to avoid bank locked and, monitor the balance. Once the balance hit 20M, we must immediately transfer the fund to our F.O. account to be used for withdrawal.
For illustration, let’s consider the example of VTB D14 - CUHKP76457 or VTB D14.
ENCODING A DEPOSIT RECEIVED IN OUR LOCAL BANK
Before proceeding, verify the bank balance using our Google Internal Record Sheet (GIRS) and Online Banking. Both balances should match. If they do not, ensure the discrepancies are resolved before continuing with the deposit transaction. Note: As much as possible we must encode the deposit transaction in order for easier tracking.
Having verified that the bank balances are tallied, let’s move on to setting up our Back-Office.
BACK-OFFICE DEPOSIT SET UP
Important: Created Time Range must be filtered from the the first day of the month to the current day. This will help us to ensure that we don't miss any deposits. After setting up your Back-Office, periodically refresh the online banking webpage to prevent being logged out, and wait for the notifications to arrive.
Once you receive a deposit, promptly enter the details into our GIRS.
Start encoding the first three column, the received date, description and, the deposit amount in our sheet. Received date - This is the exact date when we received the funds from member. (Note: it should be accurate all times) Description - These are the details or information(written in the notification we received from the bank) of the funds being received by us. These includes: Exact time that we received the money, name of the sender (if available), account number of the sender(if available) and, the content. Deposit - The real amount of money sent by the member. Navigate to your Back-Office and click on "Search" to display any pending deposit requests.
Note: Any errors in encoding from Online Banking to GIRS will be attributed to the individual performing the encoding. Therefore, please ensure that all entries are accurate.
Additionally, it’s important to regularly check our balance.
REVIEWING A PENDING DEPOSIT REQUEST Start by entering the sender's name. Copy the name from our sheet and use CTRL + F to quickly locate and highlight it. This method is particularly helpful when there are many requests.
In this example, the sender's name has been highlighted. Note: The deposit amount for VND currency in our Back-Office will be displayed without the last three zeros.
For example, a deposit request of 1,000,000 VND will appear as 1,000.00 in our Back-Office.
HOW TO APPROVE A PENDING DEPOSIT REQUEST?
To approve a pending deposit request, we only need at least two key details: the sender's name, content/reference number, or account number, and the deposit amount.
Step 1. Click "Approve" under the Action Column.
Step 2. An approval window will appear, displaying the details of the deposit request. It's important to double-check these details to avoid any errors.
Step 3. Select the company bank. Since we filtered the options from the beginning, only the currently used bank—VTB D14 - CUHKP76457—will be displayed.
Step 4. Choose the appropriate remarks. Since we are approving this deposit, select "Approved" as the remark.
Step 5. Finally, navigate to the bottom of the pop-up window and click "Approve."
Important note: 8.00 vnd or less are considered excess funds. For example, if the received amount is 2,300,099 vnd the player should be credited 2,300.09 vnd
USEFUL TIPS WHEN APPROVING A PENDING DEPOSIT REQUEST
As we process the approval of a deposit request, it is essential to simultaneously record the relevant details in our GIRS. Please ensure you include the following key information:

If you are still in the adjustment phase, start by recording the B.O. Transaction ID, as this is the most critical detail. This practice will help prevent double crediting, which can adversely your [KPI]. You can always retrieve additional details later by searching for theTransaction ID in our B.O. system.
HOW TO DISAPPROVE A PENDING DEPOSIT REQUEST?
After reviewing a pending deposit request and, it did not passed our verification, we can disapproved the pending deposit request.
Step 1. Click "Approve" under the Action Column.
Step 2. An approval window will appear, displaying the details of the deposit request. Select "No fund received" for remark/s
Step 3. Finally, navigate to the bottom of the pop-up window and click "Disapprove."
HOW TO CHANGE THE AMOUNT OF A PENDING DEPOSIT REQUEST?
We may only change the amount of the pending deposit request if there's an official receipt that clearly indicates the actual amount deposited. You may check the attachment from the pending deposit request by clicking the Transaction ID.
Step 1. Click "Approve" under the Action Column.
Step 2. An approval window will appear, displaying the details of the deposit request. Click the pencil icon beside the amount to edit the amount.
Step 3. Edit the amount. Note: Enter the B.O Vnd Amount(without the last three zeros) For example, the amount received is 2,000,000 vnd then, you must enter 2,000
Step 4. Once the amount is entered, click the check button to save and proceed with filling up the company bank, remark/s and hit submit.
